Pool party checklist: everything to pack for a splash-proof birthday

A pool party is the easiest birthday to run and the easiest one to forget something for. The kids are happy the moment they’re in the water; the only thing that goes wrong is the stuff you left at home. This is the list our team uses when we set up pool packages across Bengaluru, split by when you need it.

Two weeks before

  • Confirm the slot and the lifeguard. Every pool in our packages has one on duty; if you’re booking a private pool, ask who it is.
  • Send a swim-level note with the invite. Parents tell you who can’t swim; you plan the shallow-end games around them.
  • Order the cake for pickup, not delivery. Cream cakes don’t survive 40 minutes in a hot car. Pick it up on the way.
  • Buy return gifts in waterproof packaging. Small pool floats, goggles and water guns double as the party activity.

What to pack on the day

For the waterFor the deckFor the parents
Spare goggles (3โ€“4 pairs)Towels, two per childSunscreen, SPF 50+
Pool noodles, floats, a beach ballDry clothes bag per familyA shaded seating area

First-aid kitNon-slip mats near the stepsPhone pouch (for photos)

Plan for 45 minutes in the water, 20 minutes of food, 15 minutes of cake and photos. Kids get cold faster than you expect, so the food break is also the warm-up break.

Food that works poolside

Keep it dry, handheld and eggless by default. Mini sandwiches, cheese toasties, fruit skewers and lemonade cover almost every guest. Avoid anything with gravy or a plate that needs two hands. If the venue has a counter, do a build-your-own nachos bar; it’s the one thing eight-year-olds and their parents both queue for.

Safety, in one paragraph

One adult in the water for every six children under ten, and one adult on the deck watching only the pool. Count heads every time the group leaves the water. Put the party’s first-aid kit and the venue’s emergency number in the same visible spot. That is the whole routine, and it’s what makes the day relaxed instead of tense.
